A 20-Point Touchpoint Checklist for the Luxury Design Experience

Have you thought about what the “luxury experience” is? What does it encompass, and is it how your clients would describe their experience during every interaction with your firm? It isn’t just about exceptional luxury design. Rather, it is about how your clients experience every interaction with your firm. The smallest details can often create the most powerful impressions. Every email, text, proposal, meeting, invoice, and follow-up strengthens your superior positioning – or silently undermines it.

Perform a periodic audit of your client experience by creating a 20-point touchpoint checklist. You and your team can use this 20-point checklist to validate your premium pricing and your firm’s position in the luxury design market. Use this audit to evaluate your clients’ journey from the first inquiry through to project completion. Your goal is simple: ensure that throughout the client journey every touchpoint reflects the highest level of quality, as your pricing promises. You are ensuring they receive luxury value. Evaluate how your clients would rate your firm on the following checklist items.

1. First Inquiry Response

How does your firm handle first inquiries? They should receive a response that is prompt, warm, and personalized. You want the tone to be polished and confident as well as welcoming. 

2. Website Experience

Ask your ideal clients their impression of your website. Do they feel it is refined, intuitive, and visually consistent? It should also be easy for your ideal clients to understand your process. Ask them if this is true. If so, it will help eliminate surprises as to how your firm operates. Your website can also help filter and attract ideal clients. Is it working?

3. Discovery Call

Have you developed a process so that the Discovery Call conversation is structured yet still feels personal? At the end of the call, clients should feel heard and understood.

4. Consultation Experience

Every consultation should be intentional, well prepared, and professionally presented. The materials should be beautifully presented and organized, always adhering to your brand.

5. Proposal Presentation

Your proposal should reflect the luxury experience your clients expect. It needs to look as exceptional as the spaces you create. In addition, you need to be sure your pricing is presented clearly and with confidence. How can you expect them to be comfortable with the pricing if it is presented with confusion and apology?

6. Client Welcome Package

Your onboarding process can make or break the rest of the relationship with your clients. It needs to clearly communicate the expectations and next steps – both the client’s expectations and yours. Your clients should feel like they are joining an exclusive experience.

7. Contracts & Documentation

Your contracts should be clean, easy to navigate, and professionally branded. Your brand should be clearly identifiable across all documents. Be sure you have created an effortless signing process.

8. Design Presentation

Every presentation is an opportunity to create excitement and confidence for your clients with compelling visuals and a clear narrative. You need to “paint” the picture verbally and visually so they can imagine themselves in the completed space or spaces.

9. Communication Standards

So many challenges can be traced back to communication issues. Are your emails concise, elegant, and consistently branded? Every type of communication from your firm makes an impression – make sure it is positive and professional. In addition, be sure the response time from your firm is clearly stated and reasonable. Make sure that from the beginning a client knows how often they will receive contact from you – even if it is just to confirm that the project is moving as scheduled. Remember that your firm has multiple projects, but the client only cares about their own.

10. Project Management

Every milestone in a luxury design project should feel organized and proactive. Your clients should always know what happens next. And so should you, which is why you need effective project management. Surprises are rarely positive and can erode confidence in your work.

11. Progress Updates

Be proactive and communicate updates before clients ask. Having well-organized processes reflects positively on your firm and communicates professionalism. Those processes should also ensure communication remains consistent throughout the project.

12. Procurement Experience

Be sure that you have processes and procedures in place so that the purchasing updates your clients receive are clear and reassuring. Make sure that they know they will receive regular updates – even if it is just to check in and let them know that their project is on schedule. Are you sure that your clients understand the timelines – without feeling overwhelmed?

13. Invoice Presentation

Do your invoices reflect the sophistication of your brand? Everything that is connected to your firm reflects your brand. Your invoices are no exception, and they should be visually clean, easy to understand, and professionally formatted. If the formatting sparks questions, you’ll need to make some changes.

14. Scheduling Experience

If you have designed a smooth process for booking meetings, then it should be effortless – at least it should feel that way to the client. Again, part of the luxury experience. With that in mind, be sure that meeting reminders are timely and professional.

15. Vendor Coordination

Your creation of a luxury experience should extend to how your team manages your vendors. It should be seamless and behind the scenes, with any challenges addressed and solved before affecting the client. Your vendors are part of your team, as far as the client is concerned, so don’t make your problems with your vendors a client issue.

16. Installation Day Experience

Does your firm take reveal day seriously? It should be very carefully orchestrated so that every detail contributes to an exceptional and memorable experience. Make the client feel like the most important person in the world.

17. Project Completion

Treat the completion of a luxury design project as celebratory – not transactional. It needs to be memorable. In addition to creating a feeling of celebration, you also want to be sure that care guides, warranties, and other documentation are professionally presented. Create a binder or something similar with all of the relevant information in one place.

18. Follow-Up Care

The completion of the project should not be the end of communication. The luxury experience should include thoughtful check-ins after completion as well as clearly communicated ongoing support. 19. Referral & Testimonial Process

The relationship you have built should lead to referrals and reviews. Requesting these should be a natural part of the client journey for you and your team. The process shouldn’t feel like an afterthought or like you’re being too pushy.

20. Lasting Brand Impression

Ask yourself and your team – six months after the completion of the project, what will your client remember most? Also ask the question of a few of your ideal clients. What you should be aiming for is for every touchpoint to reinforce trust, exclusivity, and exceptional service – in other words, a luxury experience.


For each of the items on the 20-point checklist above, rate yourself on a scale of 1-5:

  • 5 is an exceptional luxury experience. 
  • 4 is strong with minor adjustments needed. 
  • 3 meets expectations but lacks distinction
  • 2 indicates noticeable inconsistencies
  • 1 requires immediate improvement

To maintain your success, it is important to accept that there is always room for improvement. Regularly evaluate your firm – the processes, procedures, as well as the total client experience. 

Clients expect a seamless experience across all touchpoints, whether online or offline. This expectation requires firms to align their teams, systems, and processes to create an integrated client journey. It will enhance satisfaction and increase the likelihood of additional work and referrals. 

Remember that luxury is rarely defined by one dramatic gesture. Rather, it is the accumulation of thoughtful, intentional details that creates a feeling of confidence. If a client feels cared for and that they got a true luxury experience, they will be more than happy to refer your services to others.
